Job Summary: The Case Management Administrative Assistant will assist in all areas of the Case Management Department in order to obtain the common goal of improving the Quality of Care within the Vantage Health Plan population. This is an administrative professional who handles administrative tasks and assigned clerical duties for this department. Essential Duties & Responsibilities: Assists with all correspondence within the department including but not limited to mailing and logging Member Satisfaction Surveys, member and provider letters, incoming and outgoing faxes. Type and design general correspondences, memos, etc. Quality review of all correspondence: Proofread for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy. Mail and fax routing and distribution for the Case Management Department including physical and electronic documents utilizing Acuity and Vnet. Arrange and schedule meetings. Handle preparation of meeting agendas and minutes. Prepare and construct the monthly Case Management Meeting materials. Assists the General Case Manager and Case Management Coordinator with incoming referrals utilizing parameters determined by Health Management. Assists the Case Management Supervisor with documentation and preparation for NCQA and any other accreditation responsibilities. Assists with input data and generation of quality reports for Case Management. Handle incoming telephone calls for the Case Managers from both internal and external sources as needed. Collect required information from incoming calls and transfer to appropriate departments. Assemble training binders and packets for the department. Work independently and within a team on special nonrecurring and ongoing projects. Establish, develop, maintain, and update filing system for the department. Retrieve information from files when needed. Data entry as applicable. Assist with ordering of office supplies and maintenance of office equipment such as the copier/printer Additional duties as assigned.
